Angela
is the Chairman of this team. We
are primarily about communication – internal and external communication,
communication about the past, the present and the future.
We communicate amongst ourselves, and we communicate with those
outside guiding - with other youth organisations, local authorities and
the wider community through the media.
As
a County we have a number of different methods of communication available
and which you can make use of, depending on the target audience and the
type of communication required. On
the team we have a number of advisers to promote and facilitate making use
of them:

County
Matters:
Amanda is the editor of County
Matters, our County magazine. We
are using it not only for internal general communication - a
vehicle for sharing news of past and future events, programme ideas
and information from advisers - but also for sharing information
about guiding with the wider community – so that you can leave it
in waiting rooms and displayed on notice boards.

IT/ Website: Jacqui
is our
IT and Website adviser.
The
County website
communicates very effectively with those inside and outside the
movement. We’ve
had feedback from across the UK and many countries overseas.
Jacqui is keen to put anything and everything on to the
website – so if you want to advertise an event or pass on some
news or information, please let them know.
IT
training:
Jacqui also offers training in all manner of aspects of
IT, to help you make better use of technology and to help you
communicate more
professionally and more efficiently. The trainings are very informative and very informal –
you work at your own pace learning something completely new or
improving on existing skills. If
there’s something you’d like to be able to do on your PC, they
probably have a course to help you – and if not they’ll probably
write a new one – just ask!

Guide
and Scout Liaison: Debbie
does this role.
We have recently signed a new agreement with Sussex Central
Guides and West Sussex Scouts – “Guides
and Scouts - Working Together Across West Sussex”.
Debbie works with her counterparts from Sussex
Central Guides and West Sussex Scouts to maintain and build
relationships and to promote joint activities across both
organisations.

West
Sussex Council for Voluntary Youth Services (WSCVYS): Anita
is
our representative on the WSCVYS executive. Their
aim is to offer help and support, both practical and financial, to
any of the member youth groups (including ourselves, the Scouts, St
John’s Ambulance & the Girls Brigad e).
Grants are available if requested.
Anita will be able to send you the application form and help

Archive: Margaret is our County Archivist. What
Margaret doesn’t know
about the history of guiding in our County probably isn’t worth
knowing! She has all
manner of goods - books, magazines, log books, uniforms, press
cuttings – from over the years, that she’s
maintaining for future Guiding generations. Margaret is very happy
to do talks for units and groups – she’s excellent at communicating our history and traditions. If
you’d like her to visit your Unit / District / Division, just ask,
you won’t be disappointed.

Displays:
Sally
is
the County display coordinator. She holds some of the County
display boards, along with display material and photographs, which
are available for you to borrow – with or without Sally’s
expertise. Displays
communicate what we are about, so they must be as informative as
possible. If you need
some help or advice about your display give Sally a ring and she
will be more than happy to help.

Recruitment: This role is all about communicating outside Guiding.
It’s all about ensuring that Guiding is seen to work within
the community. It’s
about telling people what Guiding is about and encouraging more
volunteers to become involved in some way, maybe as a leader, an
occasional helper, a secretary or a treasurer.
There are many and varied opportunities available.
This

Public
Relations Adviser: Michelle
is our County PRA. This role is all
about publicizing and pr omoting guiding and helping members to
publicize and promote guiding. There are many aspects to this role - it may be effectively
achieving positive, high profile coverage in the media, writing
press releases, doing a radio interview or putting up posters in the
library, to name just a few.

e-mail
coordinator: Jacky
is our email coordinator. We are looking to make far better use of technology for
communication, primarily amongst ourselves, between members, but
also with our contacts, supporters and other interested parties.
We are especially looking to make a more widespread and
coordinated use of e-mails, to enable information to reach you
faster and to enable you to get information out to those who need it
faster.

Join Us Contact:
Jean
is our Join Us Contact. This role involves contacting people
about joining their local units after they have phoned the general
Join Us phone number. |

County Membership Support
Coordinator: Pam is undertaking this role. This
role is about making sure our County is ready for the new online
database. She makes sure we have a team of trainers to teach
people to use the system and a team of key users to help people
locally with any problems they may have. |
|
Ambassador Coordinator:
Oversees liaison between guiding and our
ambassadors and provides advice about recruitment of new ambassadors This
post is currently vacant, so in the
meantime, please contact Angela for any help, advice or further
information. |

Centenary Champion:
Jackie is our Centenary
Champion. Contact for Centenary related events and activities |

Data
Protection Act
The
overall aim of the Act is to protect individuals from having personal
information circulated to third parties unjustifiably or without their consent.
For us as individuals, the Act means companies will no longer be able to
pass our details to other organisations for marketing purposes without our
consent and that we have the right to view any information held about us by
others. It
demands that any information that is held about us must be regularly updated,
checked for accuracy and deleted when it is no longer needed.
The
rules of the Act state that anyone processing personal data must comply with the
eight enforceable principles of good practice.
These say that data must be:
- fairly
and lawfully processed;
- processed
for limited purposes;
- adequate,
relevant and not excessive;
- accurate;
- not
kept longer than necessary;
- processed
in accordance with the data subject's rights;
- secure;
- not
transferred to countries outside the EEA without adequate protection.
Personal
data covers not just facts, but also opinions about the individual.
The Act is also very specific about what you can and can’t do with
‘sensitive’ personal data, which includes: racial or ethnic origin;
political opinions; religious or other beliefs; trade union membership; health;
sex life; criminal proceedings or convictions.
As
a ‘Not For Profit’ organisation, we are not required to register under the
Data Protection Act, although you can if you choose to.
However, of
necessity, we all hold records about the girls and our fellow Guiders,
and therefore we must all comply with the Act.
